  • Overview

    The Assistant Office Manager, under the direction of the Office Manager, will be responsible for assisting in the daily operations of the facility including: implementing marketing, training and scheduling front desk staff, assisting with programming (if applicable); monitoring facility maintenance; ensuring that the highest levels of guest satisfaction are attained; and using the ability to lead and motivate staff to achieve goals and exceed guest expectations.  The Assistant Office Manager may also help supervise front desk staff.

    Responsibilities

    • Ensures the “WTS International Experience” for guests by maintaining the standards set in WTS’ Basics to Excellence (BTE), WTS International Mission Statement/Values; Standards and Expectations, and WTS International Brand Standards.
    • Adheres to policies of WTS International.
    • Provides excellent customer service and helps monitor guest feedback through the use of comment cards and other customer care techniques.  Helps to supervise and follow up on guest requests and comments.
    • Assists in the training, and supervision of all front desk staff.
    • Assists in developing the staffing schedule to ensure adequate coverage.  
    • Supervises effective daily operations including opening and closing procedures, facility inspections, and general facility maintenance.
    • Ensures that all Front Desk staff are implementing WTS International's Basics-To-Excellence program.
    • Assists in developing a comprehensive standard facility operation’s manual, including written policies and procedures for all facility services, administration, and maintenance using the WTS International operations template.
    • Assists in conducting orientations including an introduction to the facility, services, programs, policies, and procedures.
    • Becomes knowledgeable about the facility and its amenities in order to effectively communicate with members and/or guests.
    • Submits all paperwork and financial reporting, when applicable, in accordance with WTS International policy.  Follows all SOPs and procedures that apply to the front desk and customer service.
    • Enrolls members and guests in programs.  Makes reservations for events, classes and services, as applicable.
    • Receives payments for goods and services and properly accounts for the money.  Reconciles daily sales, deposits, and receipts, when applicable. Processes gift certificates and charges, as applicable.
    • Resolve billing inquires for members
    • Assist with collecting delinquent accounts
    • Process member status changes

    • Merchandise receiving and monthly inventories
    • Assist with processing of invoices, create purchase orders, purchasing for all departments
    • Greets each and every guest with a smile and direct eye contact.
    • Informs facility manager of any member, guest, or facility issues.
    • Goes the extra mile for members and guests by offering to make reservations, find directions, look up phone numbers, etc.
    • Uses time efficiently throughout shift by checking equipment, locker rooms, inventory, etc.  Ensures proper coverage when it’s necessary to leave the area.
    • Informs co-worker(s) of pertinent information at the end of the shift.  Maintains and updates staff communication book.
    • Keeps area clear of clutter and personal effects
    • Reports any incident or accident to management.
    • Helps ensure facility is only accessed by actual members and/or guests, and that it is safe and secure at all times.
    • Assists in developing and planning a diverse calendar of enjoyable programs and activities such as: fitness and wellness programs, aquatic programs, sports, life enrichment classes, special events, social events, resident concierge services, and spa or personal care services (if applicable).
    • If applicable, assists in preparing bulletins and flyers for display on bulletin board, intranet, cable, and for a possible activities newsletter and maintains bulletin board.
    • Other duties as assigned

    Qualifications

    • Previous customer service experience.
    • Effective leadership skills and a strong work ethic
    • Excellent guest service skills. Ability to resolve guest issues in a professional and effective manner.
    • Efficient, well organized, and able to handle a variety of duties simultaneously
    • Previous experience handling money preferred.
    • Excellent oral communication skills. Must be able to write legibly and clearly to convey information. Ability to explain various treatments/services to guests.

    • Professional manner, discretion, and appearance.
    • Able to show initiative and make decisions

    • Availability When Facility Is Open:  This could include nights, weekends, and holidays.
    • Ability to stand for long periods.
    • Light Work: Exerting up to 20 pounds of force frequently, and/or a negligible amount of force constantly to move light objects.
    • This position required the ability to balance, stoop, reach, stand, walk, push, pull, and lift.
    • This position will require the following physical requirements:  fingering, grasping, , handle, feel, or operate objects, tools, or controls, repetitive motions, seeing, hearing, and visual acuity.
    • The employee will be required to operate the following tools: computer and calculator
    • The employee may be required to be exposed to noise and mechanical hazards.
    • The employee may occasionally lift and/or move up to 25 pounds.
    • CPR-AED/ First Aid, if required by the client
